Box 3005 35 Cajon Street, Suite 222 Redlands CA, 92373 Subject: Re-allocation of Mission Gables Bowl House Contract amounts. Dear Ron: Pursuant to our discussion with Alan Griffiths, CEDG requests that the Construction Administration portion of the current Mission Gables Contract(dated September 19, 2001) be re-allocated to the Construction Documents portion of the Contract. After Construction Documents are complete, we request closure of the current Contract, and then a separate Construction Administration Contract(or Contracts) issued for each phase as it occurs. This contract would cover the Architectural and Engineering Construction Administration for each phase of construction. Justification for Contract ammendment: There have been three major changes in scope to the original contract: Item One-Landscape design services Contract Exhibit "A" Article 2 - Scope of Architect's Basic Services Note 2 states: "This fee does not include landscape architectural services,except a tree planting plan." In addition to the planting and irrigation plans already performed at the request of the City, this work includes the design and construction documents for the rear courtyard including walls, gates,paving, trellis, lighting and donor walls. The additional fee for landscape architectural se-twices already performed, beyond the listed tree planting plan, is $9,110 dollars. Item Two-Phasing of Construction Documents Contract Exhibit "A" Article 2 - Scope of Architect's Basic Services Note 4 states: "Amer discussion with the City of Redlands Building Department...Only the floor frame above the basement need be seismically upgraded as part of Phase I." This meant a very simple phasing diagram that could be accomplished with a single set of drawings. After recent discussion with the City Building Official, and due to changes in building safety requirements, and the Owner's budgetary requirements,the phasing now required by the City and Owner is quite complex and required that the drawings be divided into 3 sets, reflecting three phases of construction. Architecture - Landscape Architecture - Planning Item Three-Historic Review Process Contract Exhibit "A" Article 2 Item 2.3 - Design Development Phase states: "prepare submissions to city for planning review...represent owner at city reviews" This is the only mention in the Contract of governmental reviews. There is no mention in the contract of preparing drawings for the SHPO (State Historic and Preservation Office) or meetings or representation for this process. CEDG has, in good faith, greatly assisted the City of Redlands and the Owner in this application process and has now made three rounds of revisions to the document set- which is pending approval. The cost to CEDG for these meetings and changes not in the Contract Scope is $15,000 dollars. The grand total of the cost to CEDG and Engineers of the changes in scope to the September 19, 2001 Contract therefore is: $ 38,910 Dollars New Contract Amounts: The original contract had amounts broken down as follows: Design Phase: $36,091.00 (percent 34.5%) Construction Document Phase: $39,768.00 (percent 38.0%) Construction Phase: $28,740.00 (percent 27.5%) Total Basic Compensation- $104,600.00 (percent 100%) CEDG proposes the following breakdown: Design Phase (Billed complete): $36,091.00(percent 34.5%) Construction Document Phase I(Billed complete): $39,768.00 (percent 38.0%) Construction Document Phase 11: $28,740.00 (percent 27.5%) Construction Phase: Not In Contract Total Basic Compensation: 104,600.00 (percent 100%): CEDG is continuing work on this project in as timely a manner as possible.
